Agent spec sheet
The written agreement for how your agent behaves. We build from this, not from discovery notes, and you sign it off before we start.
The business
- Business name and a one-line description
- Opening hours, day by day
- Areas you serve
- Services you offer, and the ones you don’t
The opening
- Fixed opening message, played first and never skipped: your business name, that this is an automated assistant, that the call is recorded and why, how to hang up, and where your privacy policy is
- The agent’s first line after the message
What to capture on every call
- Caller’s name and number
- Why they’re calling
- Your extra details, such as address, job type or timing
What it must never say or promise
- For example: arrival times, prices that aren’t on your list, discounts, advice outside your approved scripts
Escalation
- Triggers that go straight to a person
- Who is alerted, and how
- Handover rule: offer to help once, hand over on the second ask
Out of hours
- What the agent says when you’re closed
- What counts as urgent overnight, and who gets woken up
Pricing
- Either the prices the agent may quote, or “never quote: take a message”
Test calls, all passed before go-live
- Two straightforward calls
- A modification
- An easily misheard detail
- A change of mind mid-call
- Background noise or a strong accent
- Something you don’t offer
- A safety question
- A caller who wants a person
- A caller the agent can’t understand: it takes a number and promises a callback
Sign-off
- Signed off by, and the date
- Version number, so changes are tracked
