Privacy notice

What personal data VoiceNiche collects, why we collect it, how long we keep it and what you can ask us to do with it.

Who this notice covers

This notice covers two different relationships, and it is worth being clear which one applies to you.

If you contact us through this website, or we deliver services to your organisation, we are the data controller for your details. If we operate a voice agent for one of our customers and you rang that business, the business is the controller and we are its processor — your rights are exercised through them, and we will support them in answering you.

What we collect from this website

  • Contact details you submit: name, work email, company, telephone number where you give it.
  • Context you submit: industry, approximate call volume, existing solution, what you are trying to achieve.
  • For Voice QA enquiries: the agent number or endpoint you ask us to test, the platform it runs on, and your confirmation that you are authorised to request testing.
  • Technical data necessary to serve the site securely, such as IP address in server logs.
  • Analytics data, only where you have consented to it. No analytics cookies are set before that point.

What we collect when we run a voice agent

On behalf of our customers, and under their instructions, the service may process call audio, recordings, transcripts, caller-provided details such as name, telephone number, address or postcode, appointment details, and metadata about the call and its outcome.

Whether calls are recorded, what disclosure the caller hears, how long records are kept, whether transcripts are redacted and who may access them are all configured with the customer before launch. They are not defaults we apply on your behalf.

Why we process it, and our lawful basis

  • To respond to your enquiry and provide a demonstration — our legitimate interest in responding to someone who contacted us, or steps taken at your request before entering a contract.
  • To deliver the service to a customer — performance of our contract with that customer.
  • To keep the service secure and prevent abuse of demo and testing features — our legitimate interest in protecting the service.
  • To measure how the website performs — your consent, which you can withdraw at any time.
  • To meet legal and accounting obligations — compliance with a legal obligation.

Who we share it with

We use third-party providers to deliver the service, which may include telephony, speech and language model, hosting, email and analytics providers. They process data on our instructions under contract.

We will name the specific providers relevant to your deployment in writing before you commit to anything, and again on request. We do not sell personal data, and we do not use customer call content to improve services for other customers without a written agreement to do so.

Where data is processed

Processing locations depend on the providers used for a specific deployment. We do not make a blanket claim of UK-only data residency on this website, because it would not be true for every configuration.

If data residency matters to you, ask us before you sign anything and we will confirm in writing where each part of your deployment processes data, and what safeguards apply to any transfer outside the UK.

How long we keep it

Enquiry correspondence is kept for as long as we are in conversation and for a reasonable period afterwards, then deleted.

Recordings, transcripts and call records are kept for the retention period agreed with the customer whose calls they are, and deleted automatically at the end of it.

Your rights

Under UK data protection law you have rights to access your personal data, to have inaccurate data corrected, to request erasure, to restrict or object to processing, and to data portability where it applies. Where we rely on consent, you can withdraw it at any time.

To exercise any of these, email us. If your data relates to a call you made to one of our customers, contact that business — we will support them in responding.

You also have the right to complain to the Information Commissioner's Office.

Changes to this notice

If we change this notice materially we will update the date at the top and, where the change affects an active customer, tell them directly.
